CPE Deficiency, Late Reporting and Extensions 2026: CPA Guide
Missing CPE hours is fixable in some states and costly in others: Ohio allows 90 days and charges $10 a credit, Pennsylvania allows six months, and the Virgin Islands may allow a year.
Finding out you are short of CPE hours days before renewal is stressful, but it is not always fatal. In the state guides we have published, Ohio allows up to 90 days to correct a deficiency and charges $10 for each credit short of the annual minimum, Pennsylvania allows the deficiency to be fixed and documented within six months, and the US Virgin Islands Board may allow up to a year. Other states, such as New Jersey, are less forgiving and add late fees and penalties. This guide explains the pattern, shows where the rules differ, and sets out what to do in the first week after you discover a shortfall. Each figure comes from the relevant state guide, which is based on the board's own rule or website; confirm it with your board before you act.
At a glance
| Requirement | What the rules say |
|---|---|
| Ohio | Up to 90 days to correct a deficiency; $10 per credit short of the annual minimum; $100 a month for a renewal deficiency without an extension; late permit fees capped at $1,200 (public accounting) or $300 (other) |
| Pennsylvania | Deficiency must be fixed and documented within 6 months |
| New Jersey | Missed renewal: $135 late fee plus a $50 penalty; the guide advises going inactive rather than renewing active with a deficiency |
| US Virgin Islands | The Board may allow up to one year, or until the next renewal period, to fix a shortfall; delinquent after 31 August with $25 a month late fees capped at $600 |
| West Virginia | Hours must be earned in the calendar year unless the Board grants an extension |
| Illinois | Hardship waiver must be filed before renewal |
Three different problems that look alike
People use "deficiency" for three separate things. A shortfall is when you have not completed enough hours or the right kind of hours. Late reporting is when you have the hours but have not filed the report by the deadline. A late renewal is when the licence itself has not been renewed on time. Boards treat them differently, and fees often attach to the last two rather than the first. Work out which one you have before you contact anyone.
Ohio: time to correct, plus per-credit fees
Ohio allows up to 90 days to correct a deficiency. It charges $10 for each credit you are short of the annual minimum, and $100 a month for a renewal deficiency if you have no extension. Late permit fees are capped at $1,200 for public accounting permits and $300 for others (see our Ohio guide). Ohio's executive director can also reduce the requirement for one period for health, military service or just cause, which we cover in our guide to CPE waivers and inactive status.
Pennsylvania: six months to fix
Pennsylvania lets a licensee fix and document a deficiency within six months (Pennsylvania guide). The word that matters is "document". Completing the course is not enough; you must be able to show the board the certificate, the date and the hours.
New Jersey: late fees and the case for inactive status
New Jersey charges a $135 late fee and a $50 penalty for a missed renewal, and our guide advises going inactive rather than renewing as an active licensee with a deficiency, because an inaccurate renewal declaration is a worse position than a late one (New Jersey guide). That is our reading of the rules, not a board instruction, so confirm it with the New Jersey board.
US Virgin Islands and West Virginia: board discretion
The US Virgin Islands Board may allow up to one year, or until the next renewal period, to correct a deficiency, while failing to meet the requirement is a basis for discipline (US Virgin Islands guide). West Virginia expects hours to be earned in the calendar year unless the Board grants an extension (West Virginia guide). Where the outcome rests on board discretion, ask early and in writing.
Hardship and extension requests
Illinois requires a hardship waiver to be filed before renewal (Illinois guide). The general lesson is the same across states: an extension or waiver is far easier to obtain before the deadline than after it. Describe the cause, attach evidence such as medical or military documents, and say how and when you will make up the hours.
What to do in the first week
First, total the hours you can document and compare them with the requirement, including any ethics or category minimums. Second, read your board's rule on cure periods and fees. Third, contact the board in writing if you will miss the deadline or need an extension. Fourth, book the missing hours now, favouring categories that are not capped; our guide to self-study rules by state will help you avoid buying hours that do not count. Fifth, keep every email and receipt.
Do not misreport
If you are short, do not certify full compliance in the hope that you will not be audited. Boards audit samples, and a false declaration is more serious than a shortfall. Our guide to what boards ask for in a CPE audit explains what an audit asks for, and our CPA CPE requirements guide compares requirements across states.
Frequently asked questions
How long do I have to fix a CPE deficiency?
It depends on the board: Ohio allows up to 90 days, Pennsylvania six months, and the US Virgin Islands Board may allow up to a year.
How much does a CPE deficiency cost in Ohio?
$10 per credit short of the annual minimum, and $100 a month for a renewal deficiency without an extension, plus late permit fees capped at $1,200 or $300.
Should I renew as active if I am short of hours?
Our New Jersey guide advises going inactive rather than renewing active with a deficiency. Ask your board before you decide.
Can I get an extension?
Some boards grant extensions for hardship. West Virginia and the US Virgin Islands do so at the board's discretion, and Illinois requires the hardship waiver to be filed before renewal.
What if I miss the reporting deadline but have the hours?
You may face late fees, but you have a better case than someone who is short. Report as soon as possible and keep proof that the hours were completed in the period.
Finding courses that count
Learnsignal publishes accounting, tax, audit, ethics and finance courses in its CPD and CPE library. Before you pay for any course, check the awarding body's own rules on what it accepts, and keep the certificate and the course details. Confirm the current rule with your state board before you act.
